Dispatcher / Fleet Operations Manager

Mein Luxus Reisen AG is a licensed Swiss premium transport company based in Kloten, directly near Zurich Airport. We hold our own BAV Transport Licence and operate a fleet of luxury Mercedes Sprinter minibuses providing private transfers, Uber/ride-hailing services, group tours, Premium Alpine Experiences with Mercedes VIP Sprinters, and the iconic Bollywood VIP Sprinter Experience across Switzerland and Europe.

THE ROLE You are the nerve centre of this operation. Every driver, every vehicle, every trip runs through you. You do not wait for problems — you prevent them. You do not manage chaos — you eliminate it. This is a senior, hands-on role with real authority, real accountability, and direct impact on how this company performs every single day.

YOUR RESPONSIBILITIES

Dispatch & Scheduling 

• Own the complete driver and vehicle schedule across all service lines: Uber, airport transfers, private charters, and Sprinter tours 
• Monitor live operations in real time and resolve delays, cancellations, and emergencies immediately 
• Brief every driver fully before departure — route, client, vehicle, expectations

ARV Compliance & Tachograph 

• Apply Swiss ARV (SR 822.221) rules to every schedule without exception — this protects our BAV licence and is non-negotiable 
• Execute digital tachograph downloads on schedule and maintain a fully compliant legal archive 
• Track all driver licences and CPC/BKP certificates — no driver operates with expired documentation

Fleet Management 

• Coordinate all servicing with Mercedes-Benz and tyre suppliers — zero downtime surprises, ever 
• Enforce strict vehicle cleanliness and presentation standards before and after every assignment 
• Document all vehicle damage immediately with evidence, manage insurance claims and repair authorisations

Cost & Expense Control 

• Approve driver expenses, fuel receipts, and toll invoices — verify every item against trip data 
• Maintain detailed vehicle cost sheets and deliver weekly cost reports to management 
• Identify cost leaks and act on them

Driver Management 

• Manage driver availability, holidays, absences, onboarding, and performance 
• Track all qualifications and flag renewals before they become a problem 
• Hold drivers to the standard this company is built on

YOUR PROFILE 

Must-Have 

• 3+ years of proven experience as a Dispatcher or Fleet Operations Manager in professional passenger transport 
• Expert, applied knowledge of Swiss ARV (SR 822.221) — you recite the rules, you do not search for them 
• Hands-on experience with BAV-regulated operations or equivalent licensed transport environments 
• Digital tachograph experience: downloads, driver card management, and legal archiving 
• Uber for Business or equivalent ride-hailing fleet management 
• Valid Category B or D driving licence — you must understand the driver perspective to dispatch effectively 
• Fluent in German and English 
• You are calm under pressure, organised by instinct, and accountable by character

Nice-to-Have 

• Experience coordinating with Mercedes-Benz fleet service centres 
• Knowledge of Swiss motorway network, Alpine routes, and cross-border operations
• Additional languages (French, Spanish, Hindi, or others) 
• Familiarity with Google Workspace, HubSpot, or Make.com
