Executive Administrative Assistant - 6 months contract
As a good communicator, great multitasker and at ease in a tech environment, you will play a key role in handling administrative tasks to support the CEO, Executive Management and Board of Directors, ensuring a seamless coordination.

Support to the Executive Management:

Treat incoming mail, draft letters and other correspondence.

Proofread and correct documents in English, in French and ideally German.

Perform a wide variety of administrative and support tasks as needed daily.

Liaise with and act as back-up for Assistant to CEO/Media relations (ZH) as needed.

Liaise with all departments and auditors for various requests (e.g. minutes extracts, Notary office, Passports, signatures)

Executive Management meetings:

Schedule and assist in the preparation of the weekly meetings (e.g. distribution of meeting agenda and material) and ensure corresponding support and coordination.

Ensure proper document management, including via the software used for meetings (Convene) and digital filing.

Attend meetings and prepare the initial draft of minutes for review by the Secretary.

Organise and coordinate logistics with external venues for specific meetings.

Various other tasks in coordination with the Executive Management.

Support to the Board of Directors and related meetings:

Support the Chairman of the Board of Directors in the organisation of Board and Committee meetings and provide all assistance required (e.g. coordination with venues, access management, transportation and hotel reservations, timely document distribution, managing signatures as needed, updating the Commercial Register, maintaining an up-to-date library of internal regulations and other official documents, etc.).

Organise various important meetings such as the annual Strategy meeting and other off-site meetings (e.g. trainings) (Admin)

Coordinate specific Group internal communication (e.g. Trading periods) (Admin).
Qualifications

Excellent sense of service, interpersonal skills, and diplomacy.

Discretion and professionalism in handling sensitive and confidential information.

Excellent organisation and time-management skills.

Ability to prioritise and work independently with sound judgment.

Detail-oriented, pro-active, resourceful with a can-do attitude.

Energetic and comfortable interacting with high-level executives.

Fluent in English and French. German a very strong asset.

Excellent writing, proofreading and editing and skills (mandatory in English).

Excellent computer skills, including Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).
